Congratulations, you're engaged!
It's such an exciting time, and chances are you're already starting to picture what your wedding day might look like. The setting, the styling, the guest list, the food, the drinks and all those little details that will make the day feel like yours.
Wedding planning can also come with a lot of decisions, particularly when you're not quite sure where to begin. Catering is one of those big considerations, and while you don't need to have every detail figured out straight away, there are a few things worth thinking about before you start enquiring with wedding caterers.
At The Wilderness Chef, we've spent more than 10 years creating memorable dining experiences for weddings and events across Newcastle, the Hunter Valley and beyond. We've learnt that a little early planning can make the whole process feel much easier.
So, if you're newly engaged and starting to think about your wedding catering, here are five things we'd recommend considering.
1. Start with the vision for your day
Before you get too caught up in menus, guest numbers and logistics, take a moment to think about the kind of wedding you want to create.
Are you imagining a relaxed garden celebration with long tables, shared platters and plenty of time for guests to mingle? Perhaps you have your heart set on a more formal reception with restaurant-style plated dining. Or maybe you'd love a cocktail-style wedding where guests can enjoy delicious canapés, drinks and a lively atmosphere throughout the celebration.
There's no right or wrong answer. The important thing is understanding how you want the day to feel.
Your catering plays a big part in bringing that vision to life. The style of dining, the way food is served and the atmosphere around the table can all influence how your guests experience the celebration.
You don't need to have a complete menu in mind just yet. Having a general idea of the atmosphere you're hoping to create is a great place to start.
2. Think about your venue and location
Have you already chosen your wedding venue? If so, it's worth getting familiar with the space and understanding what it can accommodate.
Some venues have fully equipped commercial kitchens and established catering facilities, while others may have limited kitchen access or require your caterer to bring additional equipment. These details can influence the catering options available to you, so they're worth checking early.
If you're considering a private property wedding, there's a little more to think about. You'll want to consider access to power, water, kitchen facilities, food preparation areas and suitable space for your catering team to work.
The location itself is also important. If you're planning a wedding on a property, in a garden or at a venue without an onsite kitchen, you'll need a caterer who has experience working in these environments.
At The Wilderness Chef, we regularly cater for weddings at a variety of venues and private properties. Understanding the space, planning the logistics and making sure everything runs smoothly behind the scenes is a big part of what we do.
If you haven't locked in your venue yet, that's okay. Just keep catering requirements in mind while you're exploring your options.
3. Consider the experience you want your guests to have
Food is a big part of any wedding celebration, but it's also worth thinking about how you want your guests to enjoy it.
Do you want everyone gathered around the table, sharing dishes and enjoying a relaxed, social dining experience? Would you prefer a more traditional seated reception, with beautifully presented courses served individually? Or are you picturing a celebration where guests can move around, mingle and enjoy a selection of canapés?
Each dining style creates a different atmosphere.
A banquet can bring a wonderful sense of connection to the table, with generous shared dishes encouraging conversation and interaction. Plated dining offers a more structured and refined experience, while a canapé-style celebration can create a relaxed, social feel.
It's also worth thinking about the flow of your day. Will guests enjoy canapés and drinks after the ceremony? Are you planning a long cocktail hour? Will everyone be seated for a shared meal, or will food be served throughout the celebration?
These little details help shape the overall experience, and they're useful things to discuss with your caterer when the time comes.
4. Have a rough idea of your guest numbers
You don't need a final guest list before you start exploring catering options, but having an approximate idea of your numbers will make those early conversations much more productive.
Are you planning an intimate celebration with 40 guests, a relaxed gathering of around 80 or a larger wedding with 150 people or more?
Guest numbers can influence your catering budget, menu selections, staffing requirements and the logistics involved in serving everyone comfortably.
It's also helpful to consider whether your numbers include children, suppliers or other guests who may require a different meal arrangement.
If your guest list is still taking shape, don't let that stop you from making enquiries. A rough estimate is usually enough to get an initial conversation started. Your caterer can help you work through the details as your plans become clearer.
5. Start enquiring with caterers early
Once you have a general idea of your wedding date, location and guest numbers, it's worth starting conversations with potential caterers.
Popular wedding dates can book out well in advance, particularly during the busier wedding seasons. If you have a specific date or venue in mind, getting in touch early gives you a better chance of securing the team you want.
It also gives you time to explore different catering styles, ask questions and understand what's included in the service.
When comparing caterers, look beyond the menu alone. Think about their experience, communication, service standards, reviews and how comfortable you feel throughout the enquiry process. You'll be working closely with your catering team in the lead-up to your wedding, so finding people you trust is just as important as finding food you love.
At The Wilderness Chef, we believe the experience should feel considered and enjoyable well before your wedding day arrives. Our team is here to help you navigate the options, understand what will work for your celebration and create a dining experience your guests will remember.
