What Does a Wedding Caterer Actually Do on the Day?
There’s a lot more that goes into catering a wedding than simply turning up on the day and cooking some food.
Long before we arrive at your wedding, there’s already plenty happening behind the scenes to make sure everything is ready to go.
For us, the week leading up to a wedding can be just as important as the day itself.
Before we even arrive at your wedding
There’s a lot to organise before the first chef walks through the door.
Produce is ordered, deliveries are checked and our team begins prepping ingredients throughout the week. Depending on the menu, this can mean plenty of chopping, sauces, marinades, dressings, garnishes and other elements being prepared ahead of time.
Then there’s everything that needs to make its way to the wedding.
Plates, serving equipment, cooking equipment, utensils, fridges, tables and all the other bits and pieces required for service are packed into our vans and checked off before we leave.
Our vans are fuelled, equipment is loaded and ready to go, and our team is rostered so everyone knows where they need to be and when.
It might not be the most glamorous part of wedding catering, but getting these details right is what allows the day itself to run smoothly.
Arriving at the venue
Once we arrive, it’s time to get everything set up.
Depending on the venue, we may be setting up our mobile kitchen from scratch or working from an existing commercial kitchen.
Either way, there’s plenty to organise before we start cooking.
Produce needs to be unpacked and organised, cooking equipment needs to be set up, utensils and serving equipment need to be in place and the kitchen needs to be ready for the team to work efficiently.
Once everything is where it needs to be, the cooking begins.
Getting ready for service
As service gets closer, the kitchen starts to get busy.
Different elements of the menu are being prepared, dishes are being finished and the team is getting everything ready for the first food to leave the kitchen.
If you’ve booked canapés, this is where our front of house team comes into play.
During cocktail hour, they move through the crowd with trays of freshly prepared canapés, making sure guests have plenty to enjoy while they chat, celebrate and settle into the afternoon.
Behind the scenes, our chefs are continuing to prepare for dinner service.
The head chef keeps everything moving
One of the most important people on the day is our head chef.
They’re responsible for coordinating the kitchen and making sure the entire catering team is working together throughout service.
Timing is a huge part of wedding catering.
If you have multiple dishes going out at once, everything needs to be ready at the right time. The head chef is coordinating what’s being cooked, what’s being plated or prepared for service and when each course needs to leave the kitchen.
They’re essentially keeping an eye on the whole operation and making sure everyone knows what needs to happen next.
It’s one of those things guests probably never notice, which is exactly how we like it.
Dinner service begins
When it’s time for dinner, the front of house and kitchen teams work closely together to get the food out to guests efficiently.
Depending on your chosen style of catering, this might mean individually plated meals being delivered to each guest or generous banquet platters being placed down the centre of the tables.
Throughout service, our team is also keeping an eye on dietary requirements and making sure the right meals are going to the right guests.
At the same time, front of house are clearing plates, keeping tables tidy and helping the service continue to flow naturally.
The goal is for guests to be able to sit back, enjoy their meal and not have to think about everything happening behind the scenes.
Then comes dessert
If dessert is included in your menu, the kitchen gets ready for the final course.
Once again, timing is important. Desserts are finished, plated or prepared for service and sent out to the tables at the right time.
Our front of house team serves dessert before beginning the final clearing of the tables.
And while guests are enjoying the last course, the team is already starting to think about what needs to happen next.
Pack down
Once service is finished, we’re not quite done yet.
The kitchen needs to be packed down, equipment cleaned and everything loaded back into the vans.
Any equipment we've brought with us needs to be accounted for and the kitchen or catering area needs to be left clean and tidy.
Then it’s back to our own kitchen where everything is unloaded, equipment is cleaned and put away and the team can finally call it a day.
There’s a lot you don’t see
From ordering produce and prepping ingredients throughout the week to loading vans, setting up kitchens, coordinating a team and making sure every dish reaches the right guest at the right time, there’s a lot that happens behind the scenes of a wedding.
And that’s really the point.
Great wedding catering should feel effortless from the guest’s perspective.
They should be able to enjoy the food, have a drink, catch up with friends and celebrate without thinking about everything happening behind the scenes.
For us, that’s what a successful wedding service looks like.
A busy kitchen, a well-coordinated team and very happy guests who have no idea just how much went into making it all happen.
